Portals
Customers, suppliers and partners, each in their own portal
Your customers open and track their requests, sign and accept quotes without calling you. Your subcontractors accept the work and close it with the signed report. And the companies that serve your customers on your behalf work their portfolio. All on the same record, under your brand.
- One account and 2FA per person
- Their own, their site or their group
- Your brand, your menu and your words
Customers Requests and account
- Open and track requests
- Quotes, signatures and contracts
- My equipment and appointments
Suppliers Subcontractors
- Accept or decline the work
- Hours, materials and signed report
- Orders and documentation
Partners On your behalf
- Their customer portfolio
- Terms for each customer
- Their brand, if you agree
The problem
What people ask by phone today
The customer calls to ask how their request is going. The subcontractor sends the report over WhatsApp, whenever they remember. The insurer emails to ask about each claim.
Every answer costs your team a search and a call. And what the outside party knows never makes it onto a record.
In all three portals
The same rules for everyone
All three portals are doors into the same system. The audience and what it sees change; the security and the way you set it up do not.
-
Their own account
Each person signs in with their own account, never a shared password. With the same two-step verification as your team, also when they sign in with Microsoft, Google or Auth0.
-
Their role and scope
Account admin, manager, requester, finance or read-only. And they see their own items, their site’s or their whole group’s, up to five levels.
-
Your brand
Logos, including for dark mode, colors, typography, sign-in background and legal footer. With a preview in every language.
-
Their menu and their words
A home page with their to-dos, their appointments and their due dates. And their words: “Claims”, “Work orders” or “Requests” instead of “Documents”.
-
Field by field
You decide which fields each portal shows: hidden, read-only or editable. And what is asked when a request is opened. Internal notes stay inside.
-
Section by section
Each section is turned on for a whole portal and, as an exception, for one organization. Start with requests and add the rest when you want.
Customer portal
Your customers check their own items without calling you
They open their requests and track their status. While they type the subject, the portal suggests the FAQs that may answer their question.
A head office opens requests on behalf of any of its sites and sees them all. The customer’s account admin invites and removes their own people from the portal itself.
- Billing: their invoices, orders and delivery notes, with their PDF and due dates
- Quotes: they accept, adjust, sign or pay the deposit without digging up the email
- Pending signatures and contracts with the balance of their hour banks
- My equipment: warranty, next preventive visit and a button to report a breakdown
- The floor plan or map of their locations, read-only and with their own items only
- Their appointments, to reschedule or cancel them, and their pending surveys

Supplier portal
Your subcontractors, with the work on their screen
Each job reaches the subcontractor waiting to be accepted. They accept it and propose when they will go, or decline it with a reason that reaches you right away. The date only changes when your coordinator confirms it.
They do not get into your internal system: they only see what you assign them. Each part of the portal is turned on separately.
- They log their work periods and the materials they use, without seeing your prices. Materials come off your inventory
- The customer signs on the technician’s screen, and the document closes with that signature and the PDF report
- They confirm your purchase orders and hand over their delivery note or invoice
- They upload the documents you require, with their expiration date. An agent reviews them and the supplier is warned before they expire
- They see the contracts they service for you

Partner portal
For the companies that serve your customers on your behalf
An insurer, a property manager or a distributor that sends you work from its portfolio. In attendo it is a partner: it works its customers from its own portal.
The relationship with each customer sets what the partner sees, what it does on the customer’s behalf, whether it sees their personal data and until when. Relationships can be suspended or ended.
Want to implement attendo for your own clients as a consultancy? That is something else: the partner program.
- Its customer portfolio, with what each one has open
- It opens requests on behalf of a customer and assigns them to its agents
- It adds new customers, who wait for your approval unless their terms say otherwise
- Emails go to the customer, the partner or both, depending on each relationship
- If you agree, its customers see the partner’s brand instead of yours

Getting started
From the contact record to their portal
Nobody types someone else’s password, not even an administrator.
- Step 1
You turn on the portal and its sections
Requests, billing, quotes, appointments, My equipment… Only the ones you will use.
- Step 2
You add your brand and their words
Logos, colors, menu, vocabulary and visible fields, with a preview in every language.
- Step 3
You grant access from the contact record
With a switch. They get an invitation to create their own password, and the email is kept in the security audit.
- Step 4
Their admin manages their people
They invite, assign roles and remove access for the people in their company from the portal itself.
Security
Open the door without opening the house
-
Checked on every action
Each person’s role and scope are checked on the server every time they do something, not only when the screen is drawn.
-
Cut off at once
Removing someone’s access ends their sessions. A blocked or deactivated organization cannot sign in.
-
Your CSS, reviewed
Custom CSS is reviewed when it is saved: anything that loads files from other websites is rejected, and low-contrast colors are flagged.
Where it fits (and where it doesn’t)
What the portal does not do
- It does not replace your ERP
The portal shows invoices, orders and delivery notes. The invoice is issued by your connected ERP: attendo is not an ERP or accounting software.
- It does not certify contractor safety coordination
It requests, stores, reviews and warns about the expiration of your suppliers’ documents. Expired documents trigger a warning, but they do not stop you from assigning work: that decision is yours.
- It is not a public website
It is for the people you give access to. Your website is still your website.
Where it is used
Portals in every solution
The portal works on the same record as your team, so what the outside party sees is what is actually happening.
Frequently asked questions
Frequently asked questions
Do portal users count as licenses?
No. No one in a portal counts as a license, however many you have.
How does each person sign in?
With their own account. You grant access from the contact record and they get an invitation to create their password. They sign in with the same two-step verification as your team, also with Microsoft, Google or Auth0.
Can a head office see all its sites?
Yes. With a group of companies, up to five levels deep, the head office sees all its sites and opens requests on behalf of any of them. Each site sees only its own.
What does my subcontractor see?
Only the jobs you assign, its orders and the contracts it services. It logs materials without seeing your prices, and it does not get into your internal system.
Does it help with contractor safety documentation?
It helps you request it, store it with its expiration date, review it and warn before it expires. It does not certify coordination or replace your health and safety officer.
What is a partner?
A company that serves your customers on your behalf, such as an insurer or a property manager. It works its portfolio from its portal, under the terms each relationship sets.
Can I use the words my customer uses?
Yes. Each portal has its own vocabulary per language: “Claims”, “Work orders” or “Incidents”. And its own menu, home page and brand.
