What paper service reports cost you

No service report, no delivery note; no delivery note, no invoice. Calculate the office hours each report takes and the money that waits while the paper rides around in the van.

  • Runs in your browser
  • Formulas and assumptions in plain sight
  • A link to share the result

To recalculate with your numbers, this calculator needs JavaScript. In the meantime, you see the result with the sample values. Further down you have the formulas to do the math in a spreadsheet.

Your numbers

Replace the sample values with your own. The result updates instantly. Go to the result

It changes the symbol and format of the amounts, not the math: no exchange rate is applied.

Today

Every service report your technicians close in a month.

Transcribing it, scanning it, chasing the missing signature or sheet, and getting it ready to invoice.

Salary plus employer costs, divided by the hours worked in a year.

Calendar days from when the work is done until the invoice goes out.

Hours, travel and materials. If some reports are not invoiced, use the average across all of them.

What money costs you, for example the rate on your credit line. If you do not use financing, enter 0.

With attendo

The report arrives signed from the app, with photos, hours and materials. What remains is reviewing and invoicing it.

The service report generates the delivery note when it is closed. Count the time it takes you to review it and invoice.

How we calculate

The whole calculation, in plain sight

It is an estimate based on your numbers. These are the formulas with the calculator’s numbers: they change with what you enter above.

The math, step by step

Each line shows what we calculate, with which formula and with which numbers.

  1. Office hours per year, today

    reports a month × 12 × minutes per report ÷ 60

    400 × 12 × 12 ÷ 60 equals 960 h

  2. Cost of those hours

hours a year × cost per hour

    960 × €22 equals €21,120

  3. Office hours per year with attendo

    reports a month × 12 × minutes with attendo ÷ 60

    400 × 12 × 3 ÷ 60 equals 240 h

  4. One day of billing

    reports a month × average amount × 12 ÷ 365

    400 × €180 × 12 ÷ 365 equals €2,367.12

  5. Money waiting to be invoiced, today

one day of billing × days to invoice

    €2,367.12 × 14 equals €33,140

  6. Money waiting to be invoiced with attendo

one day of billing × days with attendo

    €2,367.12 × 2 equals €4,734

  7. Annual cost of financing it

money waiting × annual interest rate

    €33,140 × 5% → €4,734 × 5% equals €1,657 → €237

Assumptions

  • Office hours are valued at your cost per hour. It is time the team spends on something else, not cash leaving the bank.
  • The money waiting to be invoiced is one day’s billing times the days of delay. Invoicing sooner brings it forward only once.
  • What repeats every year is the interest on financing that idle money.
  • The customer pays on the same terms from the invoice date. If you invoice sooner, you get paid the same number of days sooner.

What we leave out

We leave it out so we do not inflate the result.

  • Hours that never get invoiced and service reports that get lost.
  • Arguments with the customer over a report with no photo or signature.
  • The technician’s time filling in the paper form. That is in the ROI calculator.

With attendo

Where the improvement comes from

The “with attendo” scenario is not magic: it comes from these features. You set the percentage.

The report is closed on site

The technician ticks off tasks, takes the photos and the customer signs on the screen. The PDF is ready instantly.

Offline too

With the attendo app for iOS and Android, the technician works without signal and everything syncs when it comes back.

From service report to delivery note

The service report generates the delivery note, and what is billable goes to your connected ERP, which issues the invoice. attendo is not an ERP or accounting software.

Real hours

The timer tracks actual hours, and a report tells you which hours are still not invoiced.

Frequently asked questions

Frequently asked questions

Why not set the minutes with attendo to zero?

Because someone still reviews the report before invoicing. What disappears is transcribing it, scanning it and chasing the signature. If review takes longer in your case, raise the value.

What is the money waiting to be invoiced?

It is work already done that you have not invoiced yet. One day’s billing times the days of delay tells you how much money is tied up on average. If you invoice sooner, that money comes in sooner, once, and you stop paying interest to finance it.

How do I calculate the minutes per report?

Time ten normal service reports, from when they reach the office until they are ready to invoice. Add up transcribing, scanning, calling about what is missing and entering hours and materials. The average of those ten is your number.

What if my technicians do not want to use an app?

It is a reasonable objection. The digital report has to take fewer steps than the paper one: scan the QR code, tick, take the photo and sign. If it takes more, the change does not work, with attendo or without it.

Do you store the data I enter?

Not unless you ask us to email you the calculation. The calculation runs in your browser. The values stay in the page address so you can share the result: they only travel with the link if you share it. If you ask for the calculation by email, we keep your email address with the values and the result to send it to you, as the privacy policy explains.
