The challenges

At peak season, everything arrives at once

The first heat wave and the first cold snap test any HVAC company. What you can handle by phone in spring gets lost at peak season.

  • Unassigned

Calls come in through five doors

Phone, WhatsApp, email, the website and the sales rep. Each one gets written down somewhere, and someone calls the customer back to ask the same questions.

  • Paper report

The service report shows up days later

Technicians work on rooftops and in basements with no signal. The paper makes it back to the office on Friday, if it makes it back, and the invoice waits.

  • No record

Records you have to be able to show

Maintenance logs, leak checks, readings. When someone asks for them, they get hunted down in folders and spreadsheets.

How attendo solves it

Each challenge, with the modules that solve it

They are modules of the same platform: you turn on the ones you use, and they all work on the same record.

Every call in one queue, wherever it comes from

Email, WhatsApp Business, text messages, phone and portal create the same service call, with the customer and the unit identified. A flow classifies it, sets the priority and assigns it.

Instant messaging with conversations from every channel in one inbox

Technicians work offline and close on site

Native iOS and Android app with schedule, route, photos, time, materials and signature. It works offline and syncs when the signal returns. Field Radar shows where each technician is and who is free. And homeowners book their service visit online, in the open slots of the team’s actual schedule.

Every unit with its history, warranty and inspections

Each unit has its record with serial number, warranty and QR code. Plans schedule the inspections and checklists capture the readings your regulations require. On repair calls, warranty or quote is settled before the truck rolls.

A typical day · example

A refrigeration failure at a grocery store on a July Saturday

From the store manager’s WhatsApp message to the signed report, within the contract’s response time. Example scenario, with made-up data.

  1. Step 1

    It arrives on WhatsApp

The store manager sends a photo of the freezer at 54 °F. The call opens with the store and the unit, and the contract makes it urgent.

  2. Step 2

    The closest tech gets it

Field Radar shows the on-call technician fifteen minutes away. The call lands in the app with the freezer’s history.

  3. Step 3

    Repaired and logged

The tech replaces the pressure switch, logs the refrigerant charge in the checklist and attaches photos. Everything goes into the unit record.

  4. Step 4

    Signed, and the customer knows

The store manager signs on the phone. The PDF report arrives by email and the call closes within the SLA.

marIA, the attendo AI

marIA at an HVAC company

It helps you respond fast at peak season, with your manuals and your history.

  • Searches your manuals

Upload your equipment manuals and procedures. marIA answers the technician or the office using that documentation.

  • Triage at peak season

It scores how urgent each call is from the contract, the unit and what the customer says. The office starts with what cannot wait.

  • Drafts the reply

It proposes the message to the customer with the real status of the call. You review it and send it.

What it does not do: It does not diagnose the unit for the technician or close calls on its own.

Honesty

What attendo does not do

Better to know before the demo. And if your case calls for another tool, we will tell you.

  • Leak records are configured

attendo does not ship a fixed refrigerant log: it is set up with checklists and fields during onboarding, with your technician.

  • No load calculations

System sizing and load calculations stay in your engineering software.

  • Your accounting stays put

attendo prepares what is billable, and the invoice is issued by your connected ERP: Odoo, Business Central, SAP Business One, Holded or another one through API v4. attendo is not an ERP or accounting software.

Regulations

Regulations you can document

The obligation is yours and your engineer’s or advisor’s. attendo helps you document every inspection and every step, with its date, its author and its evidence.

  • RITE (Spain) · building thermal installations

Periodic maintenance tasks, set up as plans per unit with checklists for the readings.

  • Royal Decree 115/2017 (Spain) · fluorinated gases

Refrigerant charges and leak checks, logged in the checklist of each job and in the unit record.

Frequently asked questions

Frequently asked questions

Does it work for a small HVAC shop?

Yes. With two or three technicians, having calls in one queue and reports on the phone already pays off. Start there and add preventive agreements or repair workflows when you need them.

Does the app work without a signal?

Yes. The technician sees the schedule, the unit history and the checklist offline, and everything syncs when the signal comes back.

Can I keep refrigerant leak records?

You can log them: every job saves the charge and the leak check in its checklist, and the history stays on the unit record. The template is set up with your technician during onboarding.

How do WhatsApp calls come in?

With WhatsApp Business connected, each conversation creates or updates a service call with the customer identified. Your team replies from attendo and everything stays on the record.

Does it also work for residential repairs?

Yes. With the after-sales workflow, homeowners book online, accept the quote on the web and pay the deposit before the visit.

Does it connect with my accounting software?

Yes, if it is an ERP. The connectors for Odoo, Business Central, SAP Business One and Holded are native, and other ERPs connect through API v4 and webhooks. The invoice is issued by your ERP: attendo is not an ERP or accounting software.
