Communication and customers

Customer, supplier and partner portals: what it does

They open and track tickets

The customer opens the ticket from the portal and tracks its status without calling you. While they type the subject, the portal suggests public FAQs that may answer their question.

My equipment, quotes and contracts

They see their equipment with its warranty and next preventive visit, accept or sign their quotes and check their contracts with the hour balance. Invoices, appointments and surveys are sections you turn on if you want.

Their account, role and scope

You grant access from the contact record and they get an invitation to create their password. They sign in with 2FA, also with Microsoft, Google or Auth0, and see their own items, their site’s or their group’s.

Master customer

For groups, chains and franchises, up to five levels deep: head office sees all its sites and opens requests on their behalf, and each site sees only its own.

Only what you want shown

Each field is hidden, read-only or editable in each portal. And the portal carries your brand, your menu and your words. Your team’s internal notes stay inside.

Suppliers and partners

Your subcontractors accept or decline the job, log hours and materials and close it with the customer’s signature. Your partners serve their portfolio under each customer’s terms. See the portals.

How it works

Step by step

This is how it is used day to day, on the same document as the rest of the modules.

  1. Step 1

    You grant access

From the contact record, with a switch. They get an invitation to create their password, and the email is kept in the audit log.

  2. Step 2

    The customer signs in

With their account and 2FA, also with Microsoft, Google or Auth0, from a computer or a phone.

  3. Step 3

    They open and check

Their tickets, signed service reports, equipment and hour bank balance. Your team gets the ticket in its queue.

  4. Step 4

    If they ask, someone answers

With the web chatbot on the portal, common questions are answered instantly and the rest go to a person.

marIA in Customer, supplier and partner portals

If you install the web chatbot on the portal, marIA answers with your documentation and FAQs, and hands questions about a specific ticket over to a person. Customers see their ticket and inspection data on the portal, without AI. Every operation is logged with its cost, within the monthly cap you set.

Honesty

Where it fits (and where it does not)

  • On the portal, the chatbot does not answer questions about a specific case: those go to a person. The customer sees the status of each ticket on the portal itself.

  • It does not certify contractor safety coordination: your suppliers’ documents warn about their expiration, but they do not block assignment.

Frequently asked questions

Frequently asked questions

Do my customers need a license to sign in?

No. Portal users do not count as licenses, however many you have.

How do they get their password?

They do not: they get an invitation to create their own. Nobody types someone else’s password, not even an administrator. They can also sign in with Microsoft, Google or Auth0.

Can a chain see all its stores?

Yes, with a group up to five levels deep. Head office sees all its sites and opens requests on their behalf, and each site sees only its own.

Do my suppliers and subcontractors get access?

Yes, through the supplier portal. They accept or decline their jobs and log hours and materials, without seeing what they cost you. They close them with the customer’s signature, with no license and without entering your system.

Is there a page to track a ticket or an order?

Yes. With web tracking, your customer follows the status of their ticket or order on a page. And you know when they open the quote or document you sent them.
