- SAP posts and numbers

attendo SAP Business One

- between attendo and SAP Business One, both ways **Business partners and items** Matched by tax ID and by code
- between attendo and SAP Business One, both ways **Work orders and service calls** The order closed in the field, in SAP too
- from SAP Business One to attendo **Inventory and invoice number** By warehouse, from SAP

## The service call does not know the work order is closed

In a company running SAP Business One, the service office and field work usually live outside SAP. The technician does not see the business partner up to date, the quote is typed into SAP again and the service call does not know the work order is already closed.

With the connector, each record is born in one system and shows up in the other. SAP still posts and numbers the invoices. attendo is where the quote is prepared, the work is planned and the job is closed in the field.

## What it does, piece by piece

Thirteen areas that you turn on separately, each with its direction, the system that wins and what happens if something is deleted.

### Business partners and contacts

Customers, vendors and leads with their contact persons. Before creating a business partner in SAP, attendo looks for one with the same tax ID. And the other way round: a company that arrives from SAP and already exists in attendo is linked by its tax ID.

### Items, warehouses and inventory

Items and item groups both ways. Inventory comes from SAP, by warehouse.

### Sales and purchase documents

Quotations, orders, deliveries and invoices. Only the types you map travel, and from the document you see the price SAP would apply to that customer.

### Official invoice number

SAP posts the invoice, and its number, series and date come back to attendo, which locks the document.

### Service calls

attendo work orders travel as SAP service calls, with their customer.

### Projects and calendar

SAP projects with their dates, and calendar appointments as meeting activities. Agent tasks travel as task activities, for the types and groups you choose in Settings.

A “Sync with attendo” field on business partners and items decides what comes into attendo. Setting it to No stops syncing without deleting anything. Whatever changes on a document from SAP goes on its timeline, with the old value and the new one.

## What travels, and in which direction

Changes in attendo go out within seconds. Changes in SAP arrive in a check every 5 minutes or, with Integration Framework, instantly.

## How to get started

The connector uses Service Layer, the standard SAP API, with no add-ons. We get it live with your SAP consultant, first in a test company.

Status

### What you need

- SAP Business One 10.0 with Service Layer reachable from attendo
- A technical SAP user with a license and authorizations on what is synced
- Two user-defined fields in SAP, created by the attendo preparation package
- Optional: SAP Business One Integration Framework, to receive changes instantly
- Your SAP consultant during setup

**Typical effort.** The attendo side is short. The SAP side is done by your consultant: technical user, license, a window for the fields and, if wanted, Integration Framework.

### Step 1 · Technical user

Your consultant creates a dedicated SAP user, with a license and only the authorizations it needs.

### Step 2 · Connection and preparation

attendo tests the connection and gives you a package that creates the user-defined fields in SAP, in a window with no users logged in.

### Step 3 · Areas in order

Business partners first, then items and warehouses, then documents, mapping each type to its SAP object.

### Step 4 · Instant notifications

If you want, with Integration Framework SAP changes arrive within seconds. Without it, every 5 minutes.

## What it does not do

- **Accounting, production and payroll**
It does not touch journal entries, payments, reconciliation, MRP, fixed assets or SAP payroll.
- **Add-ons in SAP**
It does not install compiled add-ons: only two standard user-defined fields.
- **The SAP PDF**
It does not bring over the SAP PDF or choose its layout.
- **Several companies or currencies**
Each connection works with one company database and the local currency.
- **Orders born in SAP**
Work orders are born in attendo: a service call created in SAP does not open a work order.

## What goes with it

- [attendo CMMS](https://attendo.me/en/cmms): Assets, preventive maintenance and work orders, with SAP up to date.
- [attendo Field Service](https://attendo.me/en/field-service): The order closed in the field, in SAP too.
- [attendo After-Sales](https://attendo.me/en/after-sales-service): Quote, repair and delivery, never typed twice.
- [attendo + REST API](https://attendo.me/en/integrations/rest-api-and-webhooks): For whatever the connector does not cover.

[All integrations](https://attendo.me/en/integrations) Every connection, with its real status.

## Frequently asked questions

### Do I need to install anything in SAP?

Only two user-defined fields, with the preparation package. Integration Framework is optional.

### Which versions of SAP Business One?

Version 10.0 with Service Layer. We assess any other version before implementation.

### Who posts the invoices?

SAP, with its own numbering. attendo is not an ERP or accounting software: it prepares the document, copies the number, series and date, and locks it.

### Can I sync only customers?

Yes. Each area is turned on separately, even in a single direction.

### What if SAP is down?

Changes wait in a queue with retries and are applied when it comes back.
