Nobody knows who replied, answers go out from each person’s own email, and the thread splits. With Microsoft 365 connected, every incoming email creates or updates a document in attendo, with its customer identified. Replies go out from the document, with the shared mailbox address, and stay on the timeline with their delivery status. ## What it does, piece by piece Email, appointments and your team’s sign-in, each with the connection it needs. ### Personal and shared mailboxes Through Microsoft Graph or through IMAP and SMTP with OAuth, from one organization or several. For each mailbox you choose which folder is read. ### Replies from the right mailbox A reply from a shared mailbox goes out as that mailbox. You know whether each email was sent, bounced or failed. ### Inbound email within seconds Microsoft notifies attendo when an email arrives and the document is created within seconds. The periodic check keeps running underneath, in case a notification is lost. ### Outlook appointments When you propose an appointment, attendo checks the real availability of people and rooms and creates the event, with the Teams meeting if it is online. ### Sign in with Microsoft Your team signs in with their Microsoft Entra ID account, in the mobile app too, and attendo still asks for their two-factor code if they have it turned on. ### Copilot as marIA’s engine Your organization’s Microsoft 365 Copilot works for marIA, with processing kept inside your Microsoft organization. Your scheduled documents also show up in Outlook through the calendar subscription, read-only and without connecting anything. ## What travels, and in which direction Without instant inbound email, attendo checks each mailbox every 5 minutes, or as often as you choose. Instant inbound email and Outlook appointments are set up with you, in your Microsoft organization. Status ### What you need - Microsoft 365 with Exchange Online - An app registered in Microsoft Entra ID, with its secret and your administrator’s consent - For shared mailboxes, Exchange access for the account that connects them - For instant inbound email, your attendo instance reachable over HTTPS **Typical effort.** One or two hours with your Microsoft administrator. What takes longest happens in Microsoft: permissions, consent and access to the shared mailboxes. ### Step 1 · Entra ID registration Your administrator registers the app, creates the secret and grants the Graph or IMAP and SMTP permissions. We give them to you in writing. ### Step 2 · Mailboxes in attendo You add your organization and connect each mailbox by signing in with Microsoft. ### Step 3 · Each mailbox, to its queue Which folder is read, who can send, inbound or outbound, and the flows that turn email into documents. ### Step 4 · The optional parts Instant inbound email, sign-in with Microsoft and Outlook appointments, whenever you need them. ## What it does not do - **Personal email** Work mailboxes such as support@ or maintenance@ are connected, not each person’s individual mailbox. - **OneDrive and SharePoint** It does not use them for document management: attachments are stored with the document. - **Changes made in Outlook** If someone moves the appointment in Outlook, attendo does not pick it up: the appointment is changed from attendo. - **Users created from Entra ID** It does not create users or assign roles from Entra ID. Only an administrator of your organization can register the app and grant consent to the permissions. ### Does it work with shared mailboxes? Yes, and it is the most common case. It needs the app permission and the person’s access to the mailbox in Exchange. ### What happens if the secret expires? The mailbox stops renewing its access and Settings flags it. A new secret is created in Microsoft and saved in attendo. If someone revokes access, you just reconnect. ### Do I lose email if instant inbound email fails? No. The periodic check keeps running underneath: at worst, it takes as long as it would without it. ### Can I have mailboxes from several organizations? Yes.
